Resubmission request workflow
Updated
by Matthew Yarro
When a pathologist identifies an inadequate scan in a test, they initiate a resubmission request, which requires the clinic to rescan and resubmit the test. Once resubmitted, the pathologist reviews the test as normal.
Note: Please resubmit tests promptly to ensure continuity with the original. There is no charge for resubmissions.
New resubmission request
If a test appears in the Ready for review tab of the Worklist with a Resubmission request link, the pathologist reviewing the test has requested that the slide be rescanned and the test resubmitted.
To complete a resubmission request:
- Click Main Menu (
). - Click the Ready for review tab from the Worklist.
- Click the Resubmission request link or the Review button for a test.
Note: If the resubmission-request text has changed to Resubmission expired or the status of the resubmission-request test has changed to Canceled, see Expired resubmission requests below.
Note: You can click View related tests (
) to view the original test order and any addenda or resubmission requests.
Note: If an Add-on Expert Review receives a resubmission request, the request will always be returned as a Cytology test.
- When the Report Viewer page opens, check the Message for the clinic and Additional comments notes for specific requests from the pathologist. In addition, make a note of which scans were flagged as being inadequate (i.e., Scans: 1, 2).
- Click Start resubmission.
Important: When you click either the Resubmission request link or the Review button, the Report Viewer page for the test opens. You can click either the Acknowledge or Start resubmission buttons. It is recommended that you click Start resubmission and resubmit the test as soon as possible.
Clicking the Acknowledge button moves the test to the Test history tab, which may result in forgetting to resubmit the test promptly.
Note: If you have previously started the resubmission process, the Start resubmission button becomes a Continue resubmission button. Click to complete the resubmission process.
Note: A resubmission request is indicated by the resubmission-request icon (
) before the test name.
- When the Order entry page opens, all the information from the previously submitted test is pre-populated in the new resubmission, including the slide card data.
- If multiple scans from one or more site cards require rescanning, the Report Viewer will indicate which scans are inadequate.
- When the Scan dialog opens, scan the slide as usual, ensuring that any suggested problems from the initial scan are resolved.
Note: If the resubmission includes multiple scans, ensure you are re-scanning the correct scan for the scan card.
Note: If you are uncertain of which slides to scan, you should rescan all the previously submitted slides. - Once the scan(s) are complete, click Submit order from the Order entry page.
- When a resubmission request has been completed, the Resubmission request link becomes Resubmission sent. Open the report and click Acknowledge to move the test to the Test history tab.
Expired Resubmission Requests
When a Resubmission request first appears in the Ready for review tab of the Worklist, you have 30 days to resubmit the test:
- For resubmission requests where no action has been taken, the test is canceled once the resubmission date expires.
- For resubmission requests where the resubmission was started but not completed by the resubmission date, the Resubmission request link will change to a Resubmission expired status.
In either case, you will no longer be allowed to resubmit the test after the expiration date.
